While we understand many of the details below will not be relevant to on-demand registrations, the same terms and conditions are used meeting wide, allowing delegates to change their registration type from in-person to on-demand and vice versa if needed.
PAYMENT
Payment can be made on invoice by direct credit (account details will be included on your invoice), or credit card (Visa or Mastercard). From earlybird close on 2 February, you will be required to pay by credit card during the online registration process. Credit card statements will show debit as Outshine Events. All prices are quoted in Australian dollars and include GST of 10%. Credit card payments are processed via Stripe which is a Level 1 Service Provider and is compliant to PCI DSS Version 3.2. Confirmation and a tax invoice will be sent via email upon receipt of your online registration.
If your organisation is paying your registration fee and has specific billing requirements, it is the delegates’ responsibility to provide these details during registration. Invoices that fail to meet the organisation's payment policy due to incorrect or incomplete information will not be reissued. The delegate would then be responsible for arranging payment directly and seeking reimbursement from their organisation.
CANCELLATION POLICY
All cancellations or registration changes must be made in writing to the Conference Managers at fiona@outshine.co.nz.
Cancellations made on or before 2 February 2025, will be refunded less $100.00 AUD to cover administration costs. No registration refunds for full cancellations will be made after this date, and refunds for tickets to the social functions will be assessed on a case-by-case basis. You may elect to change to an on-demand viewing or transfer your registration to a colleague, in which case please contact the Conference Manager to arrange.
From 3 February 2025, if you change from an in-person attendee to on-demand viewing for whatever reason, you will not receive a refund for the difference in fees as the meeting will have incurred non-refundable costs for your in-person attendance.
If for reasons beyond the control of the Organising Committee, the meeting is cancelled outright, the registration fees will be refunded less a $150.00 AUD administration fee.
REGISTRATION CATEGORY
It is expected that you accurately select the appropriate category during registration. During the standard registration review process, you may be contacted to request proof of chosen registration type. If requested, evidence must be provided within 7 days; failure to do so will result in an automatic update of your registration category, and you will be required to pay the difference in fees.
DELEGATE LIST
Personal information is collected on behalf of the ARGANZ. A delegate list will be produced for the meeting including name, organisation, region/state and country. It will be distributed to meeting attendees, sponsors and exhibitors and provided to future organisers of the ARGANZ Meeting. This list will not be provided by the ARGANZ Executive to any other third party. Should you not wish your details to be included on the list please indicate during the registration process.
ON-DEMAND CONFERENCE PLATFORM
The on-demand content of the ARGANZ Meeting 2025 is being delivered post meeting, and as such, the Organisers and Conference Managers will provide clear guidelines on best-operating systems to use for optimum viewing of the on-demand content for attendees. The Conference Managers will take no responsibility or accept requests for a refund if the guidance for viewing is not followed.
ATTENDANCE CERTIFICATES
Attendance certificates are only provided to individuals registered under delegate categories. Healthcare industry and exhibitor registrations do not qualify for certificates of attendance.
PHOTOGRAPHY / VIDEO
The ARGANZ Meeting is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, news organisations and other companies from photographing or video or audio-taping some meeting activities. Additionally, the Organisers may arrange for photos to be taken during the meeting. The Organisers reserve the right to use images taken at the meeting with your photograph and/or likeness in future marketing materials, including on the internet. The Conference Managers may also use images taken at the meeting with your photograph and/or likeness in future marketing materials, including on the internet, with the permission of the Organisers. Meeting attendees who prefer their images are neither taken nor published in any format, have the ability to object by sending an email request to the Conference Managers at fiona@outshine.co.nz.
INSURANCE
ARGANZ and the conference managers will not accept any liability for losses associated with the meeting. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the meeting.
IN-PERSON HEALTH & SAFETY
The Conference Managers, in conjunction with the ARGANZ Executive and the Meeting Venue, are committed to providing and maintaining a safe and healthy meeting environment for all attendees, and to providing the information needed to achieve this. The Conference Managers, in conjunction with the ARGANZ Executive and the Meeting Venue, will take responsibility for providing health and safety procedures whilst in-person, however, all meeting attendees need to be aware of their own responsibilities.
Each meeting attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy meeting environment through:
- Listening to the health and safety briefing onsite and/or;
- Reading the health and safety procedure document provided in-person at the registration desk.
- Ensuring all accidents and incidents that occur onsite at the meeting are reported.
- Informing the Conference Managers, a member of the ARGANZ Executive or a staff member at the Meeting Venue immediately of any health and safety concerns.
- Respecting your own personal safety and that of other meeting delegates and employees.
- Stay home if you are unwell, advise the Conference Managers, and switch to an on-demand registration.
- Follow all venue and public health guidelines and regulations.
PROTECTING YOUR PERSONAL DATA
We will require consent to process your data. This includes the collection, storage and use of your personal information to manage event registration, communication and participation.
