Payment
Up to and including 5 October: Payment can be made on invoice by direct credit (account details will be included on your invoice), or credit card (Visa, Mastercard or Amex).
From 6 October: You will be required to pay by credit card (Visa, Mastercard or Amex) during the online registration process.
Credit card statements will show debit as Outshine Ltd and incur a 2% booking fee.
All prices are quoted in New Zealand dollars and include GST. Credit card payments are processed via a secure Windcave gateway, a Level 1 service provider compliant with PCI DSS version 2.0. Registration confirmation and a tax invoice will be sent via email upon receipt of online registration.
If your organisation is paying your registration fee and has specific billing requirements, it is the delegate’s responsibility to provide these details during registration. Invoices that fail to meet the organisation's payment policy due to incorrect or incomplete information will not be reissued. The delegate would then be responsible for arranging payment directly and seeking reimbursement from their organisation.
Cancellations
All cancellations or registration changes must be made in writing to the Conference Managers at fiona@outshine.co.nz.

Refunds for tickets to the social functions will be assessed on a case-by-case basis. You may elect to reassign your registration, and can contact the Conference Managers with the replacement delegate’s contact details.
If the organisers are unable to hold the conference in-person for any reason, including a Force Majeure event, the conference may be delivered online. Should this be the case, your registration will be converted to an online registration, less any unrecoverable costs already incurred. If for reasons beyond the control of the organisers the meeting is cancelled, the registration fees will be refunded less fees already incurred.

* Unless your space can be filled by another delegate on a waiting list, at which time your workshop fee will be refunded in full.
If the minimum numbers for a workshop are not met, the workshop may be cancelled and your workshop fee will be refunded in full.
Registration Category
It is expected that you accurately select the appropriate category during registration. During the standard registration review process, you may be contacted to request proof of your chosen registration type. If requested, evidence must be provided within seven days. Failure to do so will result in an automatic update of your registration category, and you will be required to pay the difference in fees.
On-Demand Conference Platform
The on-demand content of the Aotearoa NZ Anaesthesia ASM 2025 will be delivered post event from 24 November 2025 to 31 January 2026. The Conference Managers will provide clear guidelines on the best operating systems for optimum viewing of the on-demand content. The Conference Managers will take no responsibility or accept requests for a refund if the guidance for viewing is not followed.
Closed Sessions
Some sessions held during the meeting may be of a sensitive nature and will be closed to all recording, including filming, photography and social media posts. By registering for the Aotearoa NZ Anaesthesia ASM 2025, you acknowledge this is the case and agree not to share, distribute or disseminate information as instructed on the programme and/or by the Chairperson of that session.
Health and Safety
The Conference Managers, in conjunction with the Organising Committee and the Meeting Venue, are committed to providing and maintaining a safe and healthy meeting environment for all attendees, and to providing the information needed to achieve this. The Conference Managers, in conjunction with the Organising Committee and the Meeting Venue, will take responsibility for providing health and safety procedures while on-site, however, all meeting attendees need to be aware of their own responsibilities. Each attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy meeting environment through:
- Listening to the health and safety briefing on-site and/or;
- Reading the health and safety procedure document provided on-site at the registration desk.
- Ensuring all accidents and incidents that occur on-site at the meeting are reported.
- Informing the Conference Managers, a member of the Organising Committee, or a staff member at the venue/s immediately of any health and safety concerns.
- Respecting your own personal safety and that of other meeting delegates and employees.
- Stay home if you are unwell, advise the Conference Managers, and switch to an on-demand registration.
- Follow all venue and public health guidelines and regulations.
Delegate List
Personal information is collected on behalf of the meeting’s parent bodies: ANZCA and NZSA. A delegate list will be produced for the meeting including name, organisation and email address. It will be distributed to meeting attendees, sponsors and exhibitors and provided to ANZCA and NZSA. This list will not be provided by ANZCA or NZSA to any other third party. Should you wish your details to NOT be included on the delegate list please indicate this during the registration process.
Insurance
ANZCA, NZSA and the Conference Managers will not accept any liability for losses associated with the meeting. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the meeting.
Photography / Video
The Aotearoa NZ Anaesthesia ASM 2025 is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, news organisations and other companies from photographing, video recording or recording some meeting activities.
Additionally, the Organising Committee may arrange for photos to be taken during the meeting. ANZCA and NZSA reserve the right to use images and recordings taken at the meeting with your photograph and/or likeness in future marketing materials, including on the internet. The Conference Managers may also use images taken at the meeting with your photograph and/or likeness in future marketing materials, including on the internet, with the permission of ANZCA and NZSA. Meeting attendees who prefer their images are neither taken nor published in any format, have the ability to opt out by sending an email request to the Conference Managers at fiona@outshine.co.nz.
Attendance Certificates
Attendance certificates are only provided to individuals registered under delegate categories and are emailed within 24-48 hours of the Annual Scientific Meeting for in-person delegates. Healthcare industry and exhibitor registrations do not qualify for certificates of attendance.
