Welcome to the online registration for the RANZCR NZ Branch ASM 2025. Please note that all fields marked with an * are required. If you need assistance during this process, please contact our Conference Managers via email ranzcr@outshine.co.nz or phone +64 7 823 1910.

If you are registering someone else on their behalf, please enter their email address in the Primary Email field and your own email address in the Additional Email field. All correspondence will be sent to both email addresses unless otherwise advised.

Dietary Requirements

The following options are intended to cater for people with food intolerances, allergies and lifestyle/belief systems. While we cater to as many allergies and special diet requests as possible, if you are following a very detailed and individual eating plan and your dietary requirements are outside of what is listed below, we cannot always guarantee that we will be able to accommodate your request. Please note, catering will cover a wide variety of tastes and preferences which always include salads, fruit and healthy options. If you do have a specific intolerance which is not covered, please select other in the box below and enter your dietary information.

Personal information is collected on behalf of RANZCR. A delegate list will be produced for the conference including name, organisation and email address. It will be distributed to conference attendees, sponsors and exhibitors, and provided to RANZCR or organisers of future meetings. This list will not be provided by the RANZCR Organising Committee to any other third party. Should you not wish your details to be included on the list, please indicate below.

All prices are in New Zealand Dollars and include 15% GST. Once your registration process is complete you may select either to pay on invoice or by credit card until the close of earlybird (29 June). After this date, payment via credit card will be required.

Full Registration Includes

  • admission to all conference sessions;
  • one admission to the Happy Hour;
  • one admission to the RANZCR Conference Dinner;
  • catering for the conference;
  • certificate of attendance.


Day Registration Includes

  • admission to conference sessions for the selected day;
  • one admission to the Happy Hour (Friday registrants only);

The final guest list will be submitted to Parliamentary Services in advance to comply with security protocols. No changes will be accepted after 17:00 on Wednesday, 13 August. Guests will be checked off the list upon arrival and issued a Parliamentary Services sticker.

Preferential rates have been secured at the DoubleTree by Hilton, InterContinental Wellington and Tryp by Wyndham. It is strongly recommended that you book your accommodation prior to 4 July 2025 to ensure you gain the negotiated rates.

Cost - Prices are in New Zealand Dollars, GST inclusive. These preferential room only rates are listed as per room, per night and based on single, twin or double occupancy unless otherwise stated.

Payment and Cancellations - You will need to provide your credit card details to secure your accommodation booking, however, you can still elect to pay your registration by direct credit/bank transfer. Please ensure you check the individual Terms and Conditions of each hotel for information regarding payment and cancellation policies.

Additional Nights - If you require accommodation outside of our conference block dates below, please book the available dates and make a note of the additional nights required in the 'Accommodation Requests' section. The Conference Managers will forward a request to the hotel on your behalf and will notify you directly upon receiving confirmation.

If your preferred hotel is showing as FULL for your selected dates, please contact the Conference Managers to enquire about availability.

Accommodation Requests

If you require pre and/or post conference accommodation (or you cannot select dates to cover the full duration of your stay), please go ahead and book the available dates above and specify the additional nights required in the box below. The Conference Managers will liaise with the hotel and confirm your request for additional nights directly.

As noted above:

  • The InterContinental is undergoing refurbishment, with newly upgraded guest rooms now complete. Ground-floor construction will take place from 9:00am to 4:30pm, with minimal disruption expected as this is during conference hours. Breakfast will be served on level 1, and while GPO restaurant is closed, Two Grey remains open as onsite dining facilities.
  • Some rooms at TRYP do not have windows due to the building’s historic nature. While we’ll do our best to accommodate window requests, they cannot be guaranteed. The hotel does not have parking although it is within walking distance of the conference venue.

Terms and Conditions

Payment
Payment can be made on invoice by direct credit (account details will be included on your invoice), or credit card (Visa, Mastercard or Amex). From earlybird close on 29 June, you will be required to pay by credit card during the online registration process. Credit card statements will show debit as Outshine Ltd and will incur a 2% booking fee. All prices are quoted in New Zealand dollars and include GST of 15%. Credit card payments are processed via a secure Windcave gateway, a Level 1 service provider compliant to PCI DSS version 2.0. Confirmation and a tax invoice will be sent via email upon receipt of your online registration.
If your organisation is paying your registration fee and has specific billing requirements, it is the delegates’ responsibility to provide these details during registration. Invoices that fail to meet the organisation's payment policy due to incorrect or incomplete information will not be reissued. The delegate would then be responsible for arranging payment directly and seeking reimbursement from their organisation.

Cancellations
All cancellations or registration changes must be made in writing to the Conference Managers at ranzcr@outshine.co.nz.
Cancellations made prior to 29 June 2025 will be refunded less NZ$120.00 to cover administration costs. No registration refunds for full cancellations or change in registration type will be made after this date, and refunds for tickets to the social functions will be assessed on a case-by-case basis. You may elect to reassign your registration, in which case please contact the Conference Managers with the replacement delegate contact details.
If unable to hold the conference in-person for any reason, including a Force Majeure event, the conference may be delivered online. Should this be the case, your registration will be converted to an online registration, less any unrecoverable costs already incurred.
If the conference is cancelled outright, the registration fees will be refunded less a NZ$250.00 administration fee.

Registration Category
It is expected that you accurately select the appropriate category during registration. During the standard registration review process, you may be contacted to request proof of chosen registration type. If requested, evidence must be provided within 7 days; failure to do so will result in an automatic update of your registration category, and you will be required to pay the difference in fees.

Health & Safety
The Conference Managers, in conjunction with the Organising Committee and the Conference Venue, are committed to providing and maintaining a safe and healthy conference environment for all attendees, and to providing the information needed to achieve this. The Conference Managers, in conjunction with the Organising Committee and the Conference Venue, will take responsibility for providing health and safety procedures whilst on-site, however, all conference attendees need to be aware of their own responsibilities. Each attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy conference environment through:

  • Listening to the health and safety briefing on-site and/or;
  • Reading the health and safety procedure document provided on-site at the registration desk.
  • Ensuring all accidents and incidents that occur on-site at the conference are reported.
  • Informing the Conference Managers, a member of the Organising Committee, or a staff member at the Venue immediately of any health and safety concerns.
  • Respecting your own personal safety and that of other conference delegates and employees.
  • Follow all venue and public health guidelines and regulations.

Insurance
The Royal Australian and New Zealand College of Radiologists (RANZCR) and the Conference Managers will not accept any liability for losses associated with the conference. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the conference.

Photography / Video
The Royal Australian and New Zealand College of Radiologists (RANZCR) NZ ASM is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, news organisations, and other companies from photographing or video or audio-taping some conference activities. Additionally, RANZCR may arrange for photos to be taken during the conference. RANZCR reserves the right to use images taken at the conference with your photograph and/or likeness in future marketing materials, including on the internet. The Conference Managers may also use images taken at the conference with your photograph and/or likeness in future marketing materials, including on the internet, with the permission of RANZCR. Conference attendees who prefer their images are neither taken nor published in any format, have the ability to object by sending an email request to the Conference Managers at ranzcr@outshine.co.nz.

Attendance Certificates
Attendance certificates are only provided to individuals registered under delegate categories. Healthcare industry and exhibitor registrations do not qualify for certificates of attendance.
