PAYMENT
Payment can be made by credit card (Visa, Mastercard or Amex) during the online registration process. Credit card statements will show debit as Outshine Ltd and will incur a 2% booking fee. All prices are quoted in New Zealand dollars and include GST of 15%. Credit card payments are processed via a secure Windcave gateway, a Level 1 service provider compliant to PCI DSS version 2.0. Confirmation and a tax invoice will be sent via email upon receipt of your online registration.
CANCELLATION AND REFUND POLICY
All cancellations or registration changes must be made in writing to the Conference Managers at sheryl@outshine.co.nz.
Cancellations made prior to 4 August 2024, will be refunded less $100.00 NZD to cover administration costs. No registration refunds for full cancellations will be made after this date, and refunds for tickets to the social functions will be assessed on a case-by-case basis. You may elect to reassign your registration, in which case please contact the Conference Managers with the replacement delegate contact details.
If for reasons beyond the control of the Organising Committee, the symposium is cancelled outright, the registration fees will be refunded less a $200.00 NZD administration fee.
REGISTRATION CATEGORY
It is expected that you accurately select the appropriate category during registration. During the standard registration review process, you may be contacted to request proof of chosen registration type. If requested, evidence must be provided within 7 days; failure to do so will result in an automatic update of your registration category, and you will be required to pay the difference in fees.
ON-DEMAND CONFERENCE PLATFORM
The on-demand content of the SHP-AP Symposium is being delivered post-event, and as such, the Organising Committee and Conference Managers will provide clear guidelines for use for optimum viewing of the on-demand content for attendees. The Conference Managers will take no responsibility or accept requests for a refund if the guidance for viewing is not followed.
ON-SITE HEALTH & SAFETY
The Conference Managers, in conjunction with SHD-AP Symposium Organising Committee and the symposium venue, are committed to providing and maintaining a safe and healthy symposium environment for all attendees, and to providing the information needed to achieve this. The Conference Managers, in conjunction with the SHD-AP Symposium Organising Committee and the symposium venue, will take responsibility for providing health and safety procedures whilst onsite, however, all symposium attendees need to be aware of their own responsibilities.
Each symposium attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy symposium environment through:
• Listening to the health and safety briefing onsite and/or;
• Reading the health and safety procedure document provided on-site at the registration desk.
• Ensuring all accidents and incidents that occur onsite at the symposium are reported.
• Informing the Conference Managers, a member of the SHD-AP Symposium Organising Committee or a staff member at the symposium venue immediately of any health and safety concerns.
• Respecting your own personal safety and that of other symposium delegates and employees.
• Follow all venue and public health guidelines and regulations.
DELEGATE LIST
Personal information is collected on behalf of the SHD-AP. A delegate list will be produced for the symposium including name, email address, organisation, and region/country. It will be distributed to symposium attendees, sponsors and exhibitors and provided to future organisers of the SHD-AP Symposium. This list will not be provided by SHD-AP to any other third party. Should you not wish your details to be included on the list please indicate during the registration process.
INSURANCE
SHD-AP and the Conference Managers will not accept any liability for losses associated with the symposium. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the symposium.
PHOTOGRAPHY/ VIDEO
The SHD-AP Symposium is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, news organisations and other companies from photographing or video or audio-taping some symposium activities. Additionally, the Organisers may arrange for photos to be taken during the symposium. The Organisers reserve the right to use images taken at the symposium with your photograph and/or likeness in future marketing materials, including on the internet. The Conference Managers may also use images taken at the symposium with your photograph and/or likeness in future marketing materials, including on the internet, with the permission of the Organisers. symposium attendees who prefer their images are neither taken nor published in any format, have the ability to object by sending an email request to the Conference Managers at sheryl@outshine.co.nz.
ATTENDANCE CERTIFICATES
Attendance certificates are only provided to individuals registered under delegate categories. Healthcare industry and exhibitor registrations do not qualify for certificates of attendance.
PROTECTING YOUR PERSONAL DATA
The European Union's General Data Protection Regulation (GDPR) came into effect on 25 May 2018. Whilst the SHD-AP Symposium is based in New Zealand, and we do not always have delegates or speakers attend from the EU, as a responsible Professional Conference Organiser we believe it is important that we follow the GDPR standards to ensure that your personal data privacy is protected. When registering, you will be asked to give your consent to providing your personal information in order to register for the symposium.
Please note, it is the policy of the meeting NOT to supply an “invitation letter”. Upon payment of registration fees, each delegate receives a registration confirmation email and receipt of payment.
